Building an Offer Management System for HyperCity

Working on software becomes much more interesting when the problem you're solving exists in the real world.

Here in Wayanad, HyperCity is a growing hypermarket business, serving customers through multiple locations. As the business grows, managing promotions across different branches also becomes more challenging.

Different branches may have different offers. Promotions start and end at different times. Some campaigns are meant for selected locations, while others need to reach a wider audience.

Managing all of this efficiently requires more than just creating an offer and publishing it.

That's where the HyperCity Offer Management System comes in.

The Problem I Wanted to Solve

Imagine managing promotions across multiple hypermarket branches.

A weekend deal may only be available at one branch. Another promotion might run across several locations. Upcoming campaigns need to be prepared in advance, active offers need to be clearly visible, and expired promotions shouldn't continue appearing to customers.

As the number of branches and promotions increases, keeping everything organized becomes harder.

The goal was to create one centralized place where the team could manage the complete offer lifecycle.

One Dashboard for Managing Offers

The HyperCity Offer Management System provides a central dashboard for creating and managing promotions across branches.

The team can create an offer, add the necessary details and promotional image, select where the offer should be available, and define its start and end dates.

Once scheduled, the system handles the offer based on those dates.

This means the team can prepare campaigns ahead of time instead of having to manually manage every promotion when it starts or ends.

For a growing business, this makes the workflow much easier to organize.

Built Around Different Responsibilities

One thing I learned while working on this system is that an admin panel shouldn't necessarily give every user the same experience.

Different people have different responsibilities.

A Super Admin may need visibility and control across the entire system, while a Branch Manager should primarily work with information relevant to their location. The Marketing team needs tools focused on creating and managing promotions.

Designing the system around these responsibilities keeps the workflow simpler while ensuring users only access what they need.

Managing Offers Across Branches

Branch targeting is an important part of the system.

Not every promotion applies everywhere.

When creating an offer, it can be associated with the relevant branches. This gives the team flexibility to manage local promotions as well as campaigns running across multiple locations.

It also creates a better foundation for showing customers promotions that are actually relevant to the branch they use.

Seeing What's Happening at a Glance

When many promotions are running, dates alone aren't always the easiest way to understand what's happening.

So the system includes a weekly calendar view where offers can be viewed visually based on their schedules.

This makes it easier to see what's currently active, what's coming next, and how different campaigns overlap.

Offers can also be adjusted directly from the calendar, making campaign planning feel less like managing database records and more like working with an actual schedule.

Small Features That Make a Big Difference

While the main focus is offer management, I've also worked on features that make the system more useful in everyday operations.

Images can be cropped before uploading, helping promotional content stay consistent without requiring a separate editing step.

Tables can be exported to Excel when the team needs data for reporting or other work.

The system maintains an activity history of important actions, providing visibility into what was changed and who made the change.

Promotional banners can also be managed alongside offers, keeping more of the marketing workflow inside one system.

Customers can receive push notifications about relevant promotions, helping connect the offers being managed internally with the people they're ultimately created for.

What Working on This System Has Taught Me

One of the biggest lessons from working on the HyperCity Offer Management System has been understanding the difference between building features and solving workflows.

Creating a form to add an offer isn't particularly difficult.

The interesting questions come afterward:

What if an offer is available at only three branches?

What should a branch manager be allowed to see?

What happens when a promotion expires?

How do upcoming, active, and expired offers stay organized?

How can the marketing team understand an entire week's campaigns without checking every offer individually?

These are the kinds of questions that have shaped the system.

Working on a platform that is connected to a growing business in Wayanad has also given me an opportunity to think beyond code and understand how software fits into actual day-to-day operations.

Still Building, Still Learning

The HyperCity Offer Management System is an ongoing project, and I'm continuing to work on it as requirements evolve and new ideas emerge.

That's one of the things I enjoy most about working on real-world software.

You don't build everything once and call it finished. You observe how the system is being used, understand new problems, improve existing workflows, and keep making the product better.

For me, this project isn't just another application in my portfolio.

It's an opportunity to build software for a real business, solve practical problems, and learn from the process along the way.
